WhatsApp Transcription vs App: What the Built-in Feature Still Cannot Do

WhatsApp's built-in transcription turns voice messages into text on your phone, but it covers few languages, is missing from WhatsApp Business, offers no summary, translation or export, and ignores audio outside your chats. A dedicated transcription app fills those gaps.

What does WhatsApp's built-in transcription actually do?

WhatsApp can turn a voice message into text so you can read it instead of playing it. You switch it on under Settings > Chats > Voice message transcripts, choose a transcript language, then long-press a voice message and tap Transcribe. The text appears under the audio bubble.

Two things work well:

  • Privacy by design: WhatsApp says transcripts are generated on your device, so the audio is not sent to a server to be converted.
  • Convenience for short notes: for a quick message in a supported language, you get readable text right in the chat where you need it.

That is the whole scope: voice messages, one at a time, shown inside the app. The sections below cover what falls outside that scope, based on the gaps people search for and ask about most often.

Which languages can the native transcript not handle?

Language coverage is the most common complaint, and the two platforms do not offer the same list:

  • Android: only a handful of transcript languages (four when we last checked). If your language is not on the list, there is simply no transcript.
  • iPhone: a longer list, but it depends on the phone's speech recognition settings, and Siri must be enabled for it to work.

There is also a practical problem: you set one transcript language. A voice note recorded in another language comes back with wrong words or no usable text, and a note that switches language halfway through is handled poorly. Bilingual families, international teams and anyone with contacts abroad run into this constantly.

Tools that detect the spoken language automatically avoid the switch entirely: you send the audio, and the language is recognised from the recording itself.

Step by step

  1. Select the voice message

    In WhatsApp or WhatsApp Business, open the chat and long-press the voice message you want as text.

  2. Open the share sheet

    On Android, tap the share icon at the top of the screen. On iPhone, tap Forward, then the share icon at the bottom.

  3. Choose Zeepit

Why WhatsApp Business shows no transcript option

If you run a shop, a practice or a service on WhatsApp Business, you may have looked for the transcript setting and not found it. The native feature is not available in WhatsApp Business, which is exactly where long voice notes pile up: orders, addresses, appointment changes, complaints.

Without text, you have to play each note, often more than once, to copy details into your tools. Nothing can be searched later, and nothing can be pasted into an invoice or a booking system.

No summary, no translation, no export: the transcript stops there

The native transcript is text to read, not text to work with. Here is what it does not do:

  • No summary of voice notes. WhatsApp's chat summaries do not cover voice messages, so a five-minute note still has to be read in full.
  • No translation. A note in a language you do not speak stays in that language, if it is transcribed at all.
  • No document export. You cannot save the transcript as a PDF or Word file from WhatsApp to attach to a report, a client file or your study notes.
  • No structure. You get a single block of text, with no key points to scan.

If you only want to know whether a note is urgent, this is enough. If you need to act on what was said, you end up rebuilding the content somewhere else by hand.

Long notes and audio from outside WhatsApp

The built-in feature only knows WhatsApp voice messages. It does nothing for:

  • recordings from your voice recorder app, such as meetings, lectures or interviews;
  • audio and video files saved in Files, Google Drive or other storage;
  • voice messages from Telegram or other messaging apps;
  • podcasts and YouTube videos.

WhatsApp transcription vs app: which should you use?

  • Use the built-in transcript for short personal notes in a supported language, when you want everything processed on the phone.
  • Use an app when you need another language, WhatsApp Business, a summary, a translation, a PDF or Word file, or text from audio outside WhatsApp.

Frequently asked questions

Why is WhatsApp voice message transcription not available in my language?

WhatsApp only transcribes a limited set of languages, and the list is shorter on Android than on iPhone, where it also depends on Siri and speech settings. If your language is missing, the option will not appear or the text will be wrong. Sharing the note to a transcription app with automatic language detection is the usual workaround.

Does WhatsApp Business have voice message transcription?

No. Native voice message transcripts are not available in WhatsApp Business. To get text from customer voice notes, share the audio from the chat to a transcription app on your iPhone or Android phone, then copy the transcript into your notes, order system or customer records.

Can WhatsApp summarize or translate a voice message?

Not natively. WhatsApp's chat summaries do not cover voice messages, and the built-in transcript is only shown in the language that was spoken. To get a summary or a translation, send the voice note to a transcription app that produces both from the audio file.

Is WhatsApp's built-in transcription more private than an app?
